Select Elements are essential for automating templates to build Smart Documents. The Select Element lets the template designer insert a dropdown list into the text of a Clause. Different Conditions can then be connected to each of the dropdown options which can then trigger additional actions.

Once a Select Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs Conditions; Tags; Help; and Design.

The Help tab lets the template designer add Help text for a user drafting a Smart Document from the template. In Document Editor, as the user hovers the cursor over a Select Element with Help text, a Help bubble will appear on the right column of the Document providing instruction on which option to choose.

For example, as seen in Lesson 1: Task 5 of the Educational Courses, the Select Element is used to provide the Debtor with the options of i) receiving the loan either by Bank Transfer or ii) In Cash. If bank transfer is selected, then additional text appears, requesting bank details. This is only one of many applications that the Select Element can be used to automate templates.

Elements which are used to place a modifiable table into a document.

Similar to Clauses, when Table Elements are added to the Editor Canvas, a Text Element is included in both columns. If additional rows or columns are added, additional Text Elements are also included.

Also, like Clauses, Table Elements have attached tabs and features specific to Tables, and the tabs appear when the cursor hovers over it. These include:

  • The “Move” tool (icon of four cardinal arrows), which can be used to move the Table anywhere within the Clause structure
  • The Edit tab, which freezes the Table for modifications The Add Column tab which will create a new column on the far right of the table
  • The Add Row tab, which will create a new row on the bottom of the table
  • Left / Right Directional arrows, which allow columns to be moved left or right
  • Up/ Down Direction arrows, which allow rows to be moved up or down

Two important general rules to note about Table Elements:

  1. Each Table Cell must have at least one Element within it, it is not possible to delete them all
  2. Although Tables can be moved, Elements within Tables cannot be moved between Cells

Once a Table Element is clicked upon, the details of the Element can be modified in the top menu with the following new tabs: Conditions; Tags; Repeat; and Design.

Three key points to remember about modifying Tables:

  1. Each row and column has a dedicated Edit button which, once clicked, allows the content of that row or column to be modified separately using the new top menu tabs. Therefore, template designers may add a Condition or a Repeat to a specific row or column in the table. The same applies for choosing different Designs including borders settings, and column width; Where the width of a column has not been manually configured, it will be calculated dynamically based on inserted content.
  2. If a cell has a different row and column settings, the most recently applied settings (row versus column) will apply to that cell.
  3. Common uses for Tables include financial sheets that allow users to complete Text Inputs and Calculations using Document Editor, item lists (e.g. real-estate properties, employee contact information), or signature blocks in agreements in some instances, where they may be used in conjunction with Image Elements, which could be placed within a Table element.

Very basic Elements are providing a free text field for template designers that presents end users with standard fixed text in Document Editor. Text can be either entered directly or pasted in from another source. This text can only be modified by end users in Document Editor provided the user is permissioned to unlock Text Elements.An important Template Editor tool specific to the Text Element is the scissor. In certain situations, it may be necessary to enter an Element between words within an existing Text Element. It is not possible to place an Element into a Text Element but using the scissor tool makes it possible to “cut” the Text Element field at the section where the insertion needs to be made.  Once a Text Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs: Conditions; Tags; and Design.

​Elements that provide a space for entering images. This is accomplished in two ways:

  1. Uploading an image directly to the Image Element in the template (the image will be fixed, and unable to be modified in Document Editor by the end user)
  2. Leaving the Image Element blank in the template, allowing end users to upload an image through Document Editor for a specific document.

Once an image is uploaded to the Document Editor, the size of the image is automatically adjusted to fit the area by its longest side, and the resolution of the uploaded image is kept, guaranteeing reasonable quality when exported to Word or PDF.
The space available for Images can be increased or decreased by adjusting the corners, and the size of an Image itself can be adjusted in the same way after it is uploaded to Template Editor.

Once an Image Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs: Conditions; and Tags. Image Elements can be used in conjunction with Table Elements, for example, to apply company logos or seals for signature blocks.

Elements that connect or “link” data between Elements and Clauses.Links may be used to:

  1. Save time with data entry by auto populating data within and across documents. When connected to another Element, a Link will populate with the content of that connected Element. Links may connect with Elements in the same template or with Elements in a different template provided the templates share a Template Suite.
  2. Reference numbered Clauses, usually in the same Template, but may also reference numbered Clauses in other templates provided the templates share a Template Suite.

Links can be connected to the following Elements:

One Link Element feature of note is that should the content of the Element to which a Link is connected changes, the content in the Link will automatically update. For example, in an agreement, a Link element can be set up in the signature block and connected back to the agreement parties’ names and contact details defined in the opening Article. Should a party’s details be modified in the opening article, the information in the signature block will also change.

Once a Link Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs: Conditions; Tags; and Design.
Regardless of the source Element’s formatting, content auto populated in a Link Element will appear as plain text.The Design tab can be used to format the text as needed.Below the top menu, Link’s Phrase will appear.

Here are the steps for preparing a Link:

  1. Drag a Link Element widget from the left menu and add it to a Clause
  2. Click on the Link Element to edit
  3. Modify the dropdowns in Link’s Phrase as follows:
    a.) Choose the Clause or type of Element to be linked (“Link To”)
    b.) Choose the relevant Document
    c.) Choose the relevant Element by its System Name

Please make sure that Clauses and Elements which you intend to use in Links have System Name.

If a Link shows up as red on the Editor Canvas, one of two errors may have occurred:

  1. An Element or Clause has not been correctly related to the Link; or
  2. The Link Element is connected to an unnumbered Clause.

Links connected to Clauses, which display the number of the Clause and are automatically changed when the numbering is modified will be exported to Word documents as “cross-references”.

Elements that allow end users to enter text directly into the template in Document Editor. Text Inputs can be labelled to provide guidance on what type of content should be entered into the field.
Once a Text Input Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs: Conditions; Tags; Properties; Warning; Help; and Design.

The Text Input Properties tab provides the option to either

  • restrict the input to numbers, or
  • if working with a dual language document, simultaneously and automatically enter text into the
    second document language.

Text Input Warnings are generally used when the Text Input is restricted to numerical values. If the entered value falls outside of permissible parameters set by the template designer, then a warning message will appear.


Template designers can choose any of the following mathematical expressions to set Warning parameters:

  • Higher 
  • Higher or Equal
  • Equal
  • Not Equal
  • Lower or Equal
  • Lower

The Help tab lets the template designer add Help text for a user generating a Smart Document from the template. In Document Editor, as the user hovers the cursor over a Text Input Element with Help text, a Help bubble will appear on the right column of the Document providing instruction on what text to enter.An example of a Warning, as seen in Task 7 of Lesson 2 in the Document Drafting Automation Basics Course can be to apply a formula that will send a warning message if the value entered into the Text Input field higher to a defined number.

Elements for capturing financial values. Money Elements can be completed by end users in Document Editor in two ways:

  1. Short Form: Currency Symbol – a dropdown of currency symbols for the value followed by the Value Field – A numerical representation of the value (the order can be reversed for some currencies)
  2. Short Form and Long Form (In Words) An alphabetical representation of the value followed by A field listing the sovereign currency of the value as text

By default, the Money Element will display only the short form to end users, followed by a button reading, “+ In Words”. Clicking this will provide the option to use the Long Form in addition to the Short.One major benefit of using the Money Element rather than Text or TextInput Elements is that Legito’s localization feature will automatically format the entry into a currency based on the Template Suite Language.
Once a Money Element is clicked upon, the details of the Element can be modified in the top menu with the following new tabs: Conditions; Tags; Warning; Help; Design.Money Warnings are generally used to place limits on entered values. If the value entered by an end user falls outside of permissible parameters set by the template designer, then a warning message will appear. Template designers can choose any of the following mathematical expressions to set Warning parameters:

Similar to the example of a warning being applied to a TextInput Element seen in Task 7 of Lesson 2 in the Document Drafting Automation Basics Course can be to apply a formula that will send a warning message if the value entered into the TextInput (or Money) field higher to a defined number.

Elements for entering dates.  Benefits of using a Date Element versus a text input include:

  • Ability to leverage Legito’s localization feature to automatically format dates based on the Template Suite Language
  • Dates can be understood by computers and used for setting deadline reminders. 
  • Dates entered by default, appear with the months as words avoiding confusion (possible to use a number only format).

Once a Date Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs: Conditions; Tags; Help, Design. The Help tab lets the template designer add Help text for a user generating a Smart Document from the template. In Document Editor, as the user hovers the cursor over a Date Element with Help text, a Help bubble will appear on the right column of the Document providing details on how to enter the information.With the use of Tags, Date Elements can power deadline reminders in Legito Smart Document Management.

Elements that are just that – buttons that serve as a mechanism to trigger Repeats and/or Conditions. Buttons can only be used in relation to a Repeat and/or Condition.When a button is added to the Editor Canvas, it appears with a label reading “New Button”. The label can be changed by clicking on the Button and modifying the text.Buttons are a tool to be used by end users drafting documents in Document Editor and do not export to Word or PDF.
Once a Button Element is clicked upon, details of the Element can be modified in the top menu with the following new tabs: Conditions; Tags; Properties (min / max); and Help.The Button Properties tab provides options on the minimum and maximum number of repeats to be associated with that button. By default, a Button will have a min/max ratio of 0/50. This can be modified, but the maximum may not exceed 50.Please note that when an end user is drafting a document in Document Editor if the minimum is greater than zero, then the repeated clause will automatically display as many times as defined in that minimum.

The Button will be disabled once the maximum number of repeats has been reached. If any instance of a repeated clause is deleted, after reaching the maximum, the Button will be enabled again (until again reaching the limit).


The Help tab lets the template designer add Help text for a user generating a Smart Document from the template. In Document Editor, as the user hovers the cursor over a Button Element with Help text, a Help bubble will appear on the right column of the Document with information on what clicking the Button’s effect.

Clauses add a precise structure to Legito templates to ensure that generated documents exactly follow the conditions and other logical dependencies added to the template. Templates are built from Clauses, and made from Elements.

There are five layers to Legito Clause structure. In descending order:

Articles
Paragraphs
Subparagraphs
—-Points
—–Items

When building a template, begin with an Article and then add the remaining levels of the Clause Structure () in declining order as needed. Each Clause aspect must follow the one directly above it in the hierarchy. For instance, it is not possible to add a Subparagraph aspect to an Article unless there is first a Paragraph aspect.  It is, however, possible to add a Paragraph aspect by leaving it empty of content.

The most important point to remember about Clauses is that the descending structure controls how the Clauses are affected by applied Conditions or Repeats. Clauses operate using a “parent – child” relationship, meaning that logical dependencies applied to a top level of a clause will trickle down to the lower levels.

For instance, when applying a condition to a Subparagraph, the condition will apply to that Subparagraph as well as its Points and Items. However, the clause containing the modified Subparagraph, in this case, the Paragraph, and its parent clause, the Article, will not be affected by the condition.

The same principle applies to the Elements within a Clause. Conditions applied to a clause will apply to every Element inside that clause.

This feature makes it possible to create complex logical dependencies with ease because instead of adding multiple conditions to the various Elements in a Clause, the “single rule” Condition feature can be employed.

Every Clause aspect placed unto the Editor Canvas automatically creates a Text Element.

Clauses have their own menu items and navigational tools which appear when the cursor hovers over them. Clicking the Edit button, allows you to maintain focus on a clause, “freezing” the Clause for editing. A Clause selected in this manner will be highlighted in orange. Once a Clause’s Edit button is clicked upon, details of the clause can be further modified in the top menu with the following new tabs: Conditions, Repeat, Tags, Proprieties, Help, and Design.

Other Clause modification tools include:

  • On the top right, an icon of four arrows will appear (allows users to move a Clause throughout the Editor Canvas using a click and drag functionality, much like the structure widgets on the left menu.

  • Between the Move icon and the Edit button, are Hierarchy arrows. After placing a structure widget on to the Editor Canvas, it’s possible to move it up or down a level, depending on your need (e.g. change a subparagraph to paragraph).

  • You will also see an option to add a Question that will be attached directly to that specific clause aspect. A Question can be deleted by clicking the gray “trash” icon to the right of it, which should not be confused with the red trash icon at the top of the clause aspect, which will delete the entire Clause. If you attach Question directly to a Clause, such clause will have separate System Name and Help text for the Clause and its Question.

  • Adding an existing Clause from another section of the template or an entirely different template using the feature;

  • Enabling or disabling numbering. Clicking on a number to the left of a clause aspect will remove that number (or add one if not already present), and the remaining numbers to each of the Clause aspects in the template shall automatically reconcile.

  • Collapsing Article to a single line in order to simplify the view.
  • Enabling the Dual Language hide feature, which allows for certain content to be hidden in the second language of a Dual Language documents.
  • Activating the “Own Clause” feature which permits users to add their own Paragraphs to the Article.

  • Adding Help text under the Help tab which lets the template designer add Help text attached to a Clause aspect to guide users generating a Smart Document from the template. In Document Editor, the Help text can be displayed by clicking on a question mark symbol on the right side of a Clause.

Article is a special type of Clause that could have only its title from which Legito will automatically generate a system name for the article. Elements cannot be currently inserted directly to Article, but you can of course insert Paragraphs.
